Considering alternatives?

A volume photography platform that owns more of the workflow.

If you're researching GotPhoto and want a side-by-side view: Pro Photo Systems is a multi-tenant SaaS for volume photo studios that includes in-house Print Station fulfillment, an Android Reference Capture App, a Sales Hub CRM, and a tiered revenue-share that drops as your sales grow. Below is what tends to differ.

Where Pro Photo Systems is different

These are the design choices that tend to come up when studios evaluate PPS against other volume-photography platforms. Not a feature-by-feature checklist — just the big shape of what we built.

In-house Print Station

Most volume-photography platforms route every order to a partner lab and take a per-sale cut on top of the lab fee. Pro Photo Systems ships an in-house Print Station — a desktop app (Windows + macOS) that prints orders on whatever printer the studio already owns, with no proprietary hardware. Studios that fulfill in-house keep more of each sale and ship in days, not weeks.

Tiered revenue share that scales down

PPS charges no monthly platform fee — instead, a tiered revenue share that scales down as your sales grow. The more you sell, the less PPS keeps, with the tier updating automatically each month. No annual reset, no contract.

See Pricing

Modular pricing, no all-or-nothing tiers

Buy the Sales Hub CRM, Staffing & Payroll, Appointments, or AI Retouching independently. Run lean if you only need the core photo-day workflow, or layer in modules as you scale — never an all-or-nothing tier upgrade.

Built on Cloudflare, Supabase, Stripe

PPS runs on Cloudflare Workers + R2 storage globally, Postgres with row-level security via Supabase, and Stripe for payments + Connect. Modern stack, transparent infrastructure — see the Trust page for full details.

Android Reference Capture App

A dedicated Android app for capturing subject reference photos on photo day, with deferred upload that works without Wi-Fi at the venue. Reference photos drive AI face matching after the shoot — every parent gets a gallery of only their child's photos, automatically.

Sales Hub built in

Most volume-photography software stops at the photo-day workflow. PPS includes (as an optional module) a Sales Hub for the pre-sale pipeline: prospect kanban, cold email composer with per-rep send-from aliases, multi-section proposal builder, and PDF-flow e-signature contracts with reminder cron.

Where you might prefer to stay

PPS is built for volume photography studios. If you primarily shoot weddings, events, or portrait sessions where each shoot is a one-off, a platform tuned for that workflow (Pixieset, ShootProof, Pic-Time) is probably a better fit. PPS's assumptions — AI face matching, subject rosters, photo-day operations, in-house printing — only pay off when you're running the same workflow over hundreds or thousands of subjects.

If you've already built deep workflow on a competitor and just want lower fees, the rev-share alone might not be worth the migration. The studios that switch tend to do so because they want to fulfill in-house with Print Station, or they want the Sales Hub for pre-sale CRM, or they've outgrown a per-seat pricing model and want the rev-share to scale down as they grow.
