Considering alternatives?
Past the proofing-and-ordering workflow.
ShootProof is purpose-built for the classic proofing-and-ordering loop: photographer uploads a gallery, client browses, client orders, photographer fulfills. Pro Photo Systems is built for volume work — schools, sports leagues, dance studios — where the bottleneck isn't browsing, it's sorting 5,000 photos to 500 different parents. AI face matching solves that.
What changes when the work is roster-driven
These are the design choices that come up when a portrait/event photographer scales into running volume photo days. The proofing-and-ordering workflow that worked at one shoot a week doesn't survive contact with a 5,000-subject school district.
No "proofing" step — face matching delivers directly to parents
A proofing workflow assumes parents will browse the full event gallery and pick which photos to order. That works for portrait sessions where everyone's in every shot. In a volume photo day, a parent looking at 5,000 photos to find their kid is the worst possible UX. PPS uses AI face matching to deliver each parent a personalized magic-link gallery containing only their child — no proofing required.
Roster-driven workflow, not gallery-driven
PPS starts with a subject roster (CSV from the organization) and works backward from "every kid on this roster needs a delivered gallery." Reference capture tags each subject at the start of the day. The studio doesn't hand-build per-customer galleries — they're generated automatically from the roster + reference matches.
In-house Print Station
PPS ships a desktop app (Windows + macOS) that handles printing on whatever printer the studio already owns. No proprietary hardware, no per-print platform markup. Studios that fulfill in-house keep more of each sale and ship in days, not weeks. Lab integrations are still there if you prefer to drop-ship.
Tiered revenue share — only pay when you sell
PPS charges no monthly subscription — instead, a tiered revenue share that scales down as your sales grow. No per-storage fees, no per-seat fees. The tier updates automatically each month.
Sales Hub for pre-sale outreach
PPS includes (as an optional add-on module) a Sales Hub for the pre-sale pipeline — prospect kanban, cold email composer with per-rep send-from aliases, multi-section proposal builder, and PDF-flow e-signature contracts. Built for studios that need structured outreach to the schools and leagues they'd like to win.
Yearbook exports built in
After picture day, the school yearbook coordinator needs a bulk export of subject portraits at a fixed aspect ratio, sorted by homeroom. PPS produces yearbook exports directly from the same roster + face-matched gallery. No separate "yearbook" workflow to stitch together.
When ShootProof is the right tool
If your work is portrait sessions, weddings, events, or boudoir — anything where clients arrive at the gallery as individuals (or a couple) and want to browse and order — ShootProof is purpose-built for you. PPS's subject-roster machinery doesn't add value to a workflow that doesn't need it.
The PPS sweet spot is when you have named organizations on the calendar — a school picture day, a season of youth-league teams, a dance recital — and every parent arrives with a known identity that you can map to specific photos automatically. The deeper your volume, the more the math works in your favor.
