These are the design choices that show up when a portrait/wedding photographer starts running real volume — school photo days, youth-sports seasons, dance recitals. Most are off the critical path if you don't do that work.

Built around subject rosters, not one-off galleries

Pro Photo Systems assumes you arrive at a photo day with a roster — a CSV of subjects, grades or teams, and parent contacts. Reference capture, AI face matching, yearbook exports, and parent magic-link delivery all key off that roster. If your workflow is per-shoot rather than per-subject, that machinery doesn't do much for you.

In a volume photography workflow, manually tagging which face belongs to which child is the labor bottleneck. PPS uses AWS Rekognition under the hood, matching against subject reference photos captured at the start of photo day. Every parent receives a magic-link gallery containing only their child's photos — automatically.

Pro Photo Systems ships a desktop app (Windows + macOS) that fulfills print orders on whatever printer the studio already owns — no proprietary hardware. If you'd rather route to a lab, we integrate with two of them. The point is choice: in-house margins or lab convenience, per order if you want.

When Pixieset is the right tool

If you're a portrait photographer, a wedding photographer, or a senior-portrait specialist who delivers galleries one shoot at a time, Pixieset (or ShootProof, or Pic-Time) is purpose-built for your workflow. PPS's subject-roster machinery is overkill in that case, and the rev-share model doesn't advantage you over a flat subscription if you have a small handful of high-revenue shoots per year.

The studios that move to PPS tend to share one shape: they've outgrown one-off galleries and started running scheduled photo days at named organizations (schools, leagues, studios) where parents arrive with a known identity and the same workflow runs over hundreds or thousands of subjects. That's the sweet spot.
