What changes when the work is roster-driven volume
The design choices that show up when a photographer scales into running real volume — schools, sports leagues, dance studios. Hosting-first platforms can hold the photos, but the workflow above them is what determines whether picture day actually scales.
Workflow software, not just hosting
SmugMug's core value is gallery hosting with ordering bolted on. Pro Photo Systems starts from the workflow — Capture, Production, Sell — and the hosting falls out of that. If your bottleneck is "what software runs my photo day" rather than "where do my pictures live", the integrated workflow is doing more work than hosting alone.
Roster-driven, not gallery-driven
A volume photo day starts with a subject roster from the organization — names, grades or teams, parent contacts. PPS builds reference capture, AI face matching, magic-link delivery, and yearbook exports around that roster. SmugMug doesn't have a concept of "roster" — it assumes you're organizing photos into galleries the photographer chooses.
AI face matching delivers parents directly to their child
Parents at a school picture day don't want to scroll through thousands of photos to find their kid. PPS uses AWS Rekognition under the hood to match every photo to a reference capture taken at the start of the day; each parent's magic-link gallery contains only their child's photos.
In-house Print Station
PPS ships a desktop app (Windows + macOS) that fulfills print orders on whatever printer the studio already owns — no proprietary hardware. SmugMug routes everything through a single print partner. Studios that want to control fulfillment in-house get a real workflow tool.
Tiered revenue share — only pay when you sell
PPS charges no monthly subscription — instead, a tiered revenue share that scales down as your sales grow. No storage-tier fees, no per-seat fees. The tier updates automatically each month.
Sales Hub for pre-sale outreach
An optional add-on module that brings a structured pipeline (kanban), cold-email composer with per-rep send-from aliases, proposal builder, and PDF-flow e-signature contracts. SmugMug doesn't have a CRM layer — that's outside its scope. PPS treats outreach to schools and leagues as a first-class workflow.
When SmugMug is the right tool
If you primarily need a stable, long-lived home for your photo archive — with public portfolio pages, sharing, and gentle e-commerce — SmugMug is purpose-built for that and has been doing it well for years. The hosting-first approach is exactly the right shape for hobbyists, portrait photographers, and pros who treat the gallery as the primary product.
PPS makes sense when the bottleneck has moved upstream: you have a roster, a photo day, and a fulfillment pipeline that needs to scale. The workflow is what does the heavy lifting, with hosting as a by-product. If you don't have that workflow shape, the PPS machinery is overkill.
